The Identity Check at FxPro, Done Once

Verification is a document check against the name on your application, and finishing it before the first deposit saves a frozen account later.

Which documents pass first time

A document passes when all four corners are visible, the text is sharp, the expiry date is in the future, and the name matches the application exactly. For identity, that means a passport, national ID or driving licence photographed flat on a plain surface in daylight, with no flash glare across the photo page and no finger over the number.

For address, a document passes when it shows your name and your residential address as you entered them, and when it is recent enough to be accepted as current proof. A utility bill, a bank statement or a official letter in your name is the usual shape of it; a mobile money statement is not an address document, so do not send your M-Pesa history in its place.

What sends a document back

A document comes back when it is cropped, when the glare hides a field, when the name is spelled differently from the application, or when the address on the proof does not match the address you typed. Blur caused by camera movement is the single most common reason, and it is also the easiest to avoid by resting the phone on a surface rather than holding it.

A second attempt costs time rather than money, but it delays everything downstream, including the first withdrawal. If your ID and your address proof carry different versions of your name, fix the application to match the ID rather than the other way round, and submit both documents in the same session so the reviewer sees one consistent file.

Why finish before the first deposit

An unverified account can usually receive a deposit but cannot send one back, which is the worst combination to discover mid-trade. Completing verification first means the withdrawal route is open on the day you need it, and it means the account is not restricted at the moment you want to close a gold position.

The second reason is the funding trail. The account you deposit from and the account you withdraw to are linked to your verified identity, so a verified file makes the first withdrawal a routine request rather than a query. Do the documents while the account is quiet, not while a position is open.

Why the identity check is a legal requirement and not a broker preference

The check exists because Kenyan anti-money laundering law requires financial service providers to identify every client before opening an account. The Proceeds of Crime and Anti-Money Laundering Act (POCAMLA) obliges reporting institutions to carry out customer due diligence, and the Central Bank of Kenya and the Capital Markets Authority expect the same standard from anyone offering trading services to Kenyan residents. FxPro applies it as a condition of doing business, not as an optional step.

For a gold (XAU/USD) account, the law treats verification as the gate that must close before money moves. POCAMLA requires that identity be established and, where relevant, verified before a business relationship is established. That is why a deposit sent to a trading account ahead of approval can be received but not traded with until the file is complete. The requirement applies to the broker regardless of where its licence sits, so the fact that FxPro is licensed by the FCA (UK), CySEC and FSCA, not by the CMA of Kenya, does not remove the obligation.

The rule is enforced through the broker's own compliance function, which must keep records of the documents it checked and be able to show them to its regulator. For you, that means the documents are not a formality that customer support can wave through. They are the evidence that the account belongs to a real, identified person. If the evidence is missing or inconsistent, the account stays limited until it is fixed, whatever the balance or the trading plan.

The document mistakes most often behind a rejected verification file

A rejection almost always comes down to one of four mistakes: a document that is expired, a photo where part of the page is cut off, a name that does not match exactly, or a proof of address that is older than the broker's freshness window. These are not judgement calls by the reviewer. Each one fails a specific check, so fixing the specific fault is faster than resubmitting the same file and hoping it passes.

The most common single fault is a name mismatch. Your full name on the ID must match the name you typed at registration and the name on the payment method you use, including middle names and their order. A second common fault is a document image that is readable but not complete: corners cropped, a glare over the expiry date, or a screenshot instead of a photo or scan of the original. A third is proof of address that shows a different address from the one on the account.

Expired documents are rejected even if the expiry date is only a few days past, because the check is binary. So is a document that has been edited or has a visible watermark from a phone app. If you are funding with M-Pesa, the mobile money statement can serve as address evidence only if it shows your name and address clearly and falls inside the accepted recency window. Send the cleanest original you have rather than several imperfect versions.

What happens to money sent before the account is approved

A deposit made before approval is usually received and held, but the account remains restricted: you can see the balance, but you cannot trade gold (XAU/USD) or withdraw until verification is complete. The money is not lost, but it is not usable either. That is the practical reason to finish the check first, because a held balance ties up funds you may need for margin once trading opens.

The exact treatment depends on how the deposit was made. An M-Pesa payment is traceable to a phone number and a name, and the broker will compare that name with your registered name. If they match, the funds sit pending approval. If they do not, the deposit may be flagged and held longer while the mismatch is resolved. The broker cannot apply the funds to a trading position until the identity file is approved, so the wait is the same wait as verification.

There is no benefit to depositing early as a way to speed the check up. Verification is document-driven, and a balance does not move a document to the front of the queue. The safer sequence is to complete the profile, upload the identity and address evidence, answer the suitability questions, and only then fund the account. That way the first trade you place is on a fully open account rather than on a restricted one.

The suitability questionnaire and what your answers actually change

The suitability questionnaire is where the broker records your trading knowledge, experience, financial situation and risk tolerance, and the answers determine whether the account is opened with standard access or with additional protections. It is not a pass-or-fail exam. It is a record that the broker used to judge whether leveraged gold trading is appropriate for you, and it can change the leverage cap applied to your account or trigger a warning that must be acknowledged.

The answers that matter most are the ones about experience with leveraged products and about the proportion of your savings you intend to commit. A reader who has never traded a leveraged instrument may be offered a lower cap or asked to confirm they understand that losses can exceed the deposit. A reader with documented experience may be offered the cap that applies to the entity serving Kenya. Either way, the cap is a maximum, not a target, and a 0.10-lot gold position at that cap needs about $85.50 margin.

Answer honestly. The questionnaire is not there to be gamed, and an answer that overstates experience can leave you with access to risk you are not prepared for. If your circumstances change, such as a change in income or employment, you can ask for the profile to be updated. The broker may re-run the assessment, and the outcome can change the protections on the account. That is the intended behaviour, not a penalty.

Proof of address accepted in Kenya and how recent it must be

For a Kenyan resident, the broker will normally accept a utility bill, a bank statement, a mobile money statement or an official letter that shows your full name and your residential address. The document must be recent, and the freshness window is set by the broker's compliance policy rather than by a single public number, so check the current requirement in the upload screen before you send. A document that falls outside that window is treated as expired even if everything on it is correct.

The address on the document must match the address you entered on the account. A P.O. Box alone is usually not enough; the document should show a physical or postal address that the broker can match to your profile. If you use an M-Pesa statement, make sure it displays your name and address as held by the mobile money provider, not just a transaction list. A bank statement works the same way: the page must show the account holder's name and the address, not only the transactions.

Send a photo or scan of the whole page, including the header that carries the provider's name and the date. Screenshots of an app screen are often rejected because they can be edited and because the date and the address may be cut off. If your name has changed since the document was issued, the document will not match your profile and will be sent back. In that case, supply the document that reflects your current name, or complete the name-change step first.

When the name on the card or M-Pesa account differs from the account name

A mismatch between the name on your payment method and the name on your trading account is treated as a third-party payment unless it is explained, and third-party payments are not accepted for funding a personal account. The broker's rule is that the money must come from an account in your own name. If the card or the M-Pesa wallet is in a different name, the deposit can be held, returned, or used as a reason to ask for further evidence before the account is approved.

The fix depends on the cause. If the difference is a married name, a shortened name or a spelling variant, send the document that links the two names, such as a marriage certificate or a deed poll, together with your ID. If the payment method belongs to a family member, do not use it; fund from an account in your own name instead. For M-Pesa, the wallet must be registered in the same name as the trading account, because the mobile money record is itself part of the identity trail.

Do not try to solve a name mismatch by editing the account name to match the card. The account name must match your identity document, not your payment instrument. Changing the account name to fit a card creates a new inconsistency that has to be resolved with evidence. The clean route is to correct the underlying record, supply the linking document if one exists, and then fund from a method that carries your own name.

FAQ

Common questions

Which documents does the identity check actually ask for?

The check asks for a government photo ID and a proof of address showing your name and address, plus whatever else the entity serving Kenya requests. Send the full page, all four corners visible, in colour. A cropped or black-and-white copy is the most common reason a document comes back.

Why was my proof of address rejected?

Proof of address is usually rejected because the document is older than the accepted window, shows a different name spelling from your ID, or has an address that does not match what you typed in the form. Fix the mismatch first; a fresh utility bill or bank statement in the same name resolves most cases.

Can I verify using an M-Pesa statement as proof of address?

An M-Pesa statement proves transactions, not where you live, so it is normally not accepted as proof of address on its own. Use it only if the entity serving Kenya asks for a source-of-funds document. For address, use a utility bill or bank statement carrying your name and address.

How long does verification take before I can trade gold?

It depends on whether your documents are clear and consistent on the first upload. There is no fixed number we can quote. Submit everything in one go, in colour, with names spelled exactly as on your ID, and check the status page rather than re-uploading the same file repeatedly.

Do I need to verify again before withdrawing?

Verification is tied to the account, so once it is complete you should not need to repeat it for every withdrawal. Withdrawals can still be held if the destination does not match your verified details or if a source-of-funds check is triggered. Keep your details current to avoid delays.
